What does Ring Janine actually do when someone rings?

When someone rings, Janine answers within two rings, in a natural British voice, and asks what they need. She takes the caller's name, postcode and job, offers a slot from the times you've made available, reads the booking back, and confirms it by text to the caller and to you. If it's urgent she gives the safety line first and puts the caller through to you or a nominated number, and if nobody answers she takes a message and alerts you. If the answer isn't in your diary, your price list or your notes, she says "I'll have the team call you" and logs it rather than guessing.

Why this exists

We run a service business. Five hundred jobs a week, technicians across London, the Midlands and Scotland, and a phone that rings all day: "what time are you arriving", "can you come Thursday". One or two missed calls isn't a small thing when each one is a job going to someone else. When the person answering the phone was due ten days off with no cover, I built a receptionist that reads our live job sheet and answers those calls honestly.

It has one rule that made the team trust it: it never promises anything that isn't already in the system. If the answer is in the diary or the price list, it gives it. If it isn't, it says "I'll have the team call you" and logs a clean message. That's what Ring Janine is: the same receptionist, put on your numbers, trained on your diary, your prices and your rules. Rename her if you like; most people don't.

Your number

Do I have to change my phone number?

No. You keep your number and divert it to Janine only when you don't answer, using one dial code (*61* your Janine number #) that works on every UK mobile network. Callers ring the number they've always rung and Janine picks up when you can't. On holiday, divert everything with *21* instead. Availability

How does Janine know when I'm free?

You tell her by text, in plain English, and she only ever offers callers the times you've given her. Text "Mon to Fri 8 till 5, nothing Thursday" or "nothing else today" and she updates straight away. If you'd rather, share a Google Calendar or a Google Sheet and she reads your slots from that and writes each booking back into it. Either way she never double-books.

Emergencies

What happens with a gas smell, a flood, or a frightened caller?

Janine gives the safety line first, before anything else: leave the property and ring the gas emergency number for a gas smell, turn off the stopcock for a flood, and no heating for someone vulnerable is treated as urgent. Then she puts the caller through to you or your nominated number. If nobody answers, she takes the details, texts you an alert and logs the call. A frightened or vulnerable caller is flagged in the summary so you know to treat them with extra care.

Calendar

Does she book into Google Calendar?

Yes. Share your Google Calendar with Janine and every booking she takes is written straight into it, so it shows up on your phone under your own calendar. Google Sheets works the same way: link a sheet and she reads the slots you can do and writes each booking into it. If you don't use either, text her your availability and she keeps the diary herself.

What if the caller speaks Polish, Romanian or Punjabi?

Janine answers in English and switches when the caller asks. She speaks 15 languages: English, Polish, Spanish, Portuguese, Romanian, Italian, French, German, Turkish, Russian, Arabic, Hindi, Punjabi, Urdu and Mandarin Chinese. Same script, same safety lines, same prices, whatever the language. Your booking and summary always arrive in English.
